Procedures for inputting holdings into the ESTC STAR Database
Reporting to ESTC
For items within the scope of ESTC, catalogers search ESTC and report holdings for items that match ESTC records that are considered 'edited' or '18th century' according to ESTC guidelines. For items that match ESTC records that are considered 'unedited' or 'partial' follow the online instructions. For items that have no match, catalogers should report the new item to ESTC by sending an email to: estc-reports@cbsr.ucr.edu. Include the Orbis handle in the email message and attach a bookeye scan of the title page.
Procedures for inputting holdings into the ESTC STAR Database
- Log into the ESTC database at https://cbsrinfo.ucr.edu/ESTC/contribute with our user name and password.
- Consult the ESTC documentation for instructions on searching and matching.
- Search the database for a matching record. If you already have the ESTC number enter it in ESTC IDs box,
Click on the Display results button.
The results are dependent on the search type preformed, the ESTC number search should yield a single result.
Title and author keyword searches will usually result in indexes.
Click on the Full button for the record that matches.

There are four types of ESTC records: edited, 18th century, unedited and partial. Holdings can only be added to edited and 18th century records. When an item matches a partial or unedited record, follow the online instructions.
For items that have no match, catalogers should report the new item to ESTC by sending an email to: estc-reports@cbsr.ucr.edu. Include the Orbis handle in the email message and attach a bookeye scan of the title page.
- Add holdings to ESTC record.
Click on the Add holding button.
Enter the shelfmark.
Enter copy notes, if necessary (examples).
Status should always be set to Verified
Click on Update button.
Close the holdings window
If the item is refreshed, the holding should display
Wing reporting
Beinecke Library no longer reports records falling within the scope of Wing (1641-1700) to the Wing Revision Project. As these items also fall within the scope of ESTC, they will be reported there.
