Material from the Manuscript Unit

Printed material removed from an archive

Sometimes printed items are removed from the archive of an individual and added to the printed collections. In such cases, always make a local note using the form of name that appears on the BLIPS. Make an “Ownership” tracing only if there is no physical evidence of ownership.

Note: in the 2nd example an ownership tracing for Hathaway is not made.

Printed material remaining in an archive

Occasionally printed items that are to remain physically in an archive are cataloged by the Rare Book Team. The manuscript call number will be provided by Beinecke Technical Services. Make the local note “Forms part of the [name of archive]” and the appropriate provenance tracing. Make an “Ownership” tracing only if there is no physical evidence of ownership.

Linking Printed Material with Archival Collections or Manuscripts

  • Printed material with separately cataloged manuscripts

    • Single volume monographs

      Follow instructions in Bound-With Volumes. Make a 590 note explaining the relationship.

      Follow the instructions for serials/multiparts in Bound-With Volumes (section 1.2). Make a 590 note in the bibliographic record, a ‡z in the 852 of the host MFHD and an 856 as the last field in the guest MFHD.

  • Printed material remaining in an archive

    Follow the instructions for serials/multiparts in Bound-With Volumes (section 1.2). Make a 590 note in guest bibliographic records and make 856s as the last field in guest MFHDs with a link to the Yale Finding Aid Database.
