Statistics

General information

Statistics are recorded using the CatStats form in the LibInsight application. Add statistics records on the CatStats form for each format according to the following definitions.

Titles

Original Cat
All original cataloging, variant edition cataloging, and upgraded less-than-full level copy. The latter includes encoding levels 2, 3, 5, and 7, K and sometimes M (if upgrading is major).

Added Copies
Count each MFHD of a title added to an existing bibliographic record. Also count as Recat/Reclass as appropriate. Added volumes to a previously-established MFHD are not considered or counted as added copies; they are counted as new pieces.

LC Copy Cat
Any record based on an LC record at encoding level _ [blank], 4 or 8.

Other Copy Cat
Any record based on a non-LC record at encoding level _ [blank], 1, 4, I, or L; and encoding level M if upgrading is minor.

Recat

Any significant change to an existing bibliographic record affecting access or identification; any significant intellectual revision affecting the reevaluation of the entire record. Generally, this takes more than 5 minutes, and includes updating records to the current cataloging standards. Do not consider the addition of 655, 69x or 752 fields as significant changes. Count one recat title for each bibliographic record recataloged, regardless of how many copies are attached to that record.  Note: only count recat titles; do not count recat pieces.

Transfers

Count transfer titles/pieces for materials transferred from another Yale library to Beinecke. Count also under Recat/Reclass as appropriate. Transfers from another Yale Library with no Orbis records (or with preliminary Orbis records) are counted as both new titles/pieces and transfer titles/pieces.

Pieces

The first time a piece is cataloged (whether as part of a collection or individually) is the only time it is counted as a new piece.

Count each piece (volume, reel, sheet, issue, etc.) cataloged, reclassed, transferred, withdrawn or added. Do not count accompanying material in pockets. Do not count accompanying ephemeral material whether housed with the item or in a separate container.

Serials: Count each physical piece in a serial as 1 piece, regardless of how it is housed (i.e., 1 bound volume of 52 issues of a serial counts as 1 piece; 52 loose issues of a serial housed in 1 Hollinger box counts as 52 pieces). A bound volume that contains a title change will have 2 titles counted but only 1 piece. Count a piece in statistics only once. If a serial is analyzed, count the piece either for the monograph record or for the serial record but not under both.

Collection level records: Count as "pieces" those items which would have been (or are) cataloged individually (e.g., pamphlets, issues of serials). Do not count ephemeral pieces (e.g., envelopes, advertisements) that would not have been cataloged individually. Each collection level record should have at least 1 "piece". For groups of ephemeral material unlikely to be cataloged at the item level, count by the container. Count a piece in statistics only once. If items within a collection level record are cataloged individually, count the piece either for the collection level record or the individual record but not under both.
