  • The call numbers listed under “orbis” are the text portion of the 852 field in the MFHD. The 852 field should be coded one of four ways:
852 8 0 [Beinecke call number; NOT LC; single volume]

852 8 1 [Beinecke call number; NOT LC; multiple volumes]

852 0 0 [LC call number; BRBL reference books only, single volume]

852 0 1 [LC call number; BRBL reference books only, multiple volumes]
  • When marking call numbers on items, precede each call number with “Beinecke Library” unless these words appear on the item’s bookplate or an exception is noted below; “Beinecke Library” is not needed above call numbers for serials
  • Write the call number “vertically” whenever possible, making each space within the call number correspond to a line break.
  • If the call number must be written horizontally, use a period to indicate all line breaks except the one between the words “Beinecke Library” (e.g., Beinecke Library.1999.201).
  • Use capital “L” instead of lower-case “l”, except in proper names, to avoid confusion with the numeral “1”.
  • Input “Folio” in subfield “k” except for year/number, broadside year/number and some name collection call numbers.
  • If a multi-volume work is a combination of quarto and octavo sized material, class together in quarto unless instructed otherwise.  If a multi-volume work is a combination of a folio and either an octavo or quarto material, class separately unless otherwise instructed.
  • Quarto call numbers shelving at 121 Wall St. are indicated by the addition of a plus sign (+) before the book number (usually the last line) of the call number.

    Exception: Quarto size call numbers for Reference do not include the plus sign (+), but are indicated by the word “Oversize” on the line after (LC); see Marking of oversize LC call numbers

  • When determining the call number use either a truncated search or search both with and without the plus sign before the book number to determine if the call number will be unique. Although the current system does recognize and file the “+” character, do not consider the addition of the plus sign alone as a way to differentiate.
